Measuring quality through technology
Through the effective use of technology, Sentrex is able to stay at the forefront of industry best practice and ensure that you the customer receive the highest standard of service quality. Detailed below is an overview of the system Sentrex will use on this contract for both employees and sub-contractors:
Time and Attendance System – We use a market-leading workforce monitoring system. Through the use of this system we are able to ascertain the real-time location of our operatives and as such we can confirm that site visits and works shifts have been completed as roistered. A summary of how this system will work in practice is provided below:
The Area Supervisor and Account Managers assigned to this contract will have the ability to access the data online in real-time, at any hour, every day. Therefore enabling them to monitor the operative’s attendance on site.
The EziTracker system has an in-built alarm function, which will be utilised to alert us of:
All operatives must advise us at least 2 hours prior to the shift start time if they are unable to cover their shift. To ensure the optimum level of service is provided to you the alarm functionality within the system will be set up so that all alarms for non-attendance is notified to our Service Manager, Sean Boyd and the Area Supervisor. Upon receipt of the alarm, Sean will immediately speak with the Area Supervisor. The Area Supervisor will contact the operative to ascertain the reason why the operative has not reported for work. Sometimes, the Operative is
on-site but has forgotten to log on to the system. In this case the Area Supervisor will request that the Operative logs onto the system immediately. If the operative regularly forgets to log in disciplinary action may be considered.
Where an operative is unable to attend work, the Area Supervisor will arrange for a replacement operative to cover the shift. Please note that we will never remove an operative from one site to cover another. The cover operative will always be a member of the team who is off duty at the time of the required cover clean.
In the unlikely event that the Area Supervisor is unable to assign a replacement operative to cover the shift, we will arrange for one of our Mobile Teams to attend the site. The Mobile Team is made up of 4 teams; 2 teams of 2 operatives and two teams of 4 operatives. These teams are available to attend site to cover a shift quickly and effectively thus reducing any disruption to your business.
NON-ATTENDANCE PREFERRED SUPPLIERS
All sub-contractors will be issued with a log in reference for use when they arrive and leave site. This will enable Sentrex to monitor the attendance of sub-contractors. This information is vital to ensuring that our sub-contractors comply with service level agreements and deliver the quality services we require.
To ensure the optimum level of service is provided to you the alarm functionality within the system will be set up so that all alarms for non-attendance is notified to our Sub-Contractors Manager, Stefan Doskocz. Upon receipt of an alarm Stefan will contact the sub-contractor concerned to establish the reason for the non-attendance alarm. Often, the sub-contractor is on-site but has forgotten to log on to the system.
In this case the Sub-Contractor Manager will request that the Operative on site logs onto the system immediately. If the sub- contractor regularly forgets to log in, this will be raised during management review meetings and may result in sanctions being taken against the sub-contractor for failure to comply with agreed SLA’s.
EziTracker provides a crucial safeguard for lone workers by automatically raising an alert when staff, fail to log out. The trigger settings will set so that the alarm is sent to our Service Manager, Sean Boyd and the Area Supervisor. Sean will contact the Area Supervisor and request that they make contact with the operative. If the Area Supervisor is unable to speak to the operative by telephone, they will visit the site or arrange for the Service Manager to visit the site to ascertain the location of the operative. If the Area Supervisor/ Service Manager is unable to locate the operative we will contact the client on the emergency contact numbers provided.
In the event of Sentrex being unable to contact the client of a member of their staff, Sentrex will contact the Police and request their assistance in the matter. By operating in this manner we are able to safeguard the welfare of our operatives at all times.
